Project Administrator

Aecon is currently seeking a Project Administrator to join an active project based out of Mississauga, ON. Under the supervision and direction of the Accounting Supervisor, the Project Administrator will support the daily activities of the job site.

Key Responsibilities

  • Performs administrative duties for job sites ensuring all documentation regarding timesheets, equipment usage and all personnel related allowances are transferred to Accounting daily or weekly as required.
  • Learns, interprets and applies organizational policies, rules and regulations.
  • Tracks, records and reports attendance of all site personnel, board allowance and vehicle allowance.
  • Establishes accounts with local suppliers for miscellaneous items for site.
  • Ensures and assists in the completion of accident reports.
  • Establishes and dismantles site offices as required.
  • Maintains an organized filing system on site.
  • Processes employees’ payroll daily.
  • Prepare all hiring packages for onboarding craft labor on the project.
  • Ensure receiving is processed in accounting system in a timely manner.
  • Assist Finance team with month-end / year-end deliverables.
  • Receiving and processing requisitions from site personnel, ensuring correct coding and details.
  • Processing of AP invoices including obtaining correct signatures and uploading to the system.
  • Uploading documentation into document control system.
  • Management of subcontracts which includes managing billings / invoices from subs, issuing change orders, closing out subcontracts (to be shared with other site personnel).
  • Ad hoc duties as required.

Required Knowledge and Experience

  • Post-secondary education preferred.
  • Must possess 2+ years of office related experience with knowledge of purchasing, accounts payable and payroll.
  • Basic accounting knowledge is required.
  • Intermediate level of computer skills in MS Word and MS Excel.
  • Experience with SAP is an asset.
  • Strong communication skills, ability to deal tactfully with employees, visitors and customers.
  • Training in Safety and experience in the construction industry is an asset.
  • Must be a team player, be able to work independently and prioritize workload.
  • Valid driver’s license and access to reliable transportation.
  • Adaptable to flexible work schedule when required to meet deadlines.
